Operations
Notifications

Operations notification is reporting tool to notify facility management about new defects, unexpected operational results and outcomes, equipment faults, performance degradation or notification to confirm correct operation. Anyone can raise Ops Notification which could originate from maintenance routines, project activity and operational tasks.

Routines

Facility operations require periodic diagnostic checks, function test of critical safety equipment and area general visual inspection to detect any unusual noises or leaks or faults. The routine checks can complement standard alarm and monitoring system and these operational tasks are required to ensure safe operations, or to comply with state or national regulations and to manage production vulnerabilities.

Hazards

Hazard is potential risk exposure to facility staff and contractors who undertake operations, maintenance and projects activities. The hazard themes can range from electricity, chemical, radiation and other energy storage systems where uncontrolled release of energy near persons undertaking work could result in injury and environmental impact.

Maintenance
Maintenance Strategy

Maintenance strategy is business justification process to implement time based or condition based facility maintenance to prevent equipment failure. The analysis tool is designed to select failure modes and to identify practicable inspection and test methods to measure equipment condition or to complete maintenance.

Maintenance Plan

Plan is structured time based maintenance tool where the maintenance requests can be coordinated at facility level. Maintenance plan is multi asset based planning tool which enables to generate work requests as per approved procedure and identified resource plan. Maintenance plan can only be generated by approved Maintenance Strategy.

Maintenance Call

Maintenance call is a record of generated maintenance plans which includes procedures, test quality requirements, resources and permits required to safely complete the activity. The call will have a relationship to generate planned work request which were generated using the maintenance plan asset register. Single call can have many relationships.

Work Request

Work is a request to complete physical project or maintenance activity at specific facility. The task may range from non intrusive inspection, project modification or major maintenance activity which requires facility outage. There are two main types of work: general requests and preventative requests, where the work request is generated from maintenance strategy.

Procedures

Procedure is step by step instruction on how to complete project or maintenance task. The procedure detail is an outcome of best industry practices, incident investigation recommendations and local or global standards requirements. In some cases, the procedure is safety critical or is required to achieve regulatory compliance - and procedure deviations should be authorised.

System Plan

Operational or system plans are used to combine multi or single facility work requests which share common isolation scheme, geographical area or skill set to ensure that work is completed efficiently with improved tool time. The plans can include work request, work calls and engineering modifications which can be completed under single execution process to streamline resourcing and planing.

Engineering
Equipment List

Equipment type is an attribute assigned to facility assets and materials and it defines technical, performance or functional requirements. Assets describe applications and where used information, and their key technical property is Equipment Type. Common technical specifications can be used to order materials in bulk, identify systemic issues and plan for obsolescence.

Change Management

Technical queries and engineering studies are required to ensure compliance to management of change procedures. Facility modifications and temporary deviations from the standards and approved procedures are managed by engineering requests where approved technical change is recommended to facility manager for engineering endorsement.

Inspection & Test Quality

Inspection and Test Program Management is common method to store equipment test and inspection data which was collected using approved Procedure with appropriate test instruments. Prescribed method to store equipment test data can enable trending of time based failure modes and compare how equipment degradation varies between facilities and applications uses.

Results Management

Inspection and Test Report is a record of test and inspection data for asset, component or material. The technical result can be generated during planned maintenance activity, on and off-site project activities or an ad hoc equipment inspection. The technical results can be prepared by local facility staff or by expert vendor, and additionally the facility engineer or manager can validate the results for quality check and approval for other business processes.

Risk Assessment

The Risk Assessment is a structured method to identify potential undesired outcomes to business operations. Risk analysis should propose risk management framework to ensure that known and potential risk exposures are as low as as practicably possible. The financial or technical risk assessment can be used to communicate known and potential hazards.

Incident investigations

Incident is an event which resulted in interruption to business operations, equipment damage, environmental impact or an injury. Facility operations and business activities can result in undesired outcomes, like near misses, major accidents, health and safety incidents and others. Incident investigations are required to prevent repeat of events which can be achieved through implementing corrective, investigative or preventative actions.

Business
Asset Register

Asset is key facility object which can be operated, maintained, modified and changed. Multiple assets working together generate business value however known operational hazards must be managed when asset is running or energised. The assets can form asset registers or facility unit or systems to help with maintenance planning and incident investigations.

Bill of Materials

Material is consumable or component which is part of asset or production units. In addition a collection of materials assigned to an asset is known as Bill of Materials (BOM). Parts can be stored in a warehouse or ordered ‘just in time’ for planned or breakdown activity. Removed materials from the machine or system can be discarded, repaired, refurbished or mothballed.

Order Process

Financial Order is transfer of value between two parties internal or external. Business operational, maintenance, engineering or warehousing activities may require external services or parts to complete assigned task. The Order Request is a tool to manage transfer of goods and services from the supplier to the request originator.

Budgets & Cost

Budget Plan is a register of proposed expenditures for a given fiscal period. The funds are allocated to specific cause and the cost profile is time bound. Approval of Financial Budget will also have impact on Carbon Budget. The budget items can be operational, maintenance, warehousing and projects related. All budget request buy products and services to ensure business continuity.

Approvals & Transitions

Approvals is structured process for all business and technical systems where release of resources or impact on company or facility is identified. The approval component ensures that all expenditures and business changes are recorded and reviewed by competent persons, approved to execute and implemented by authorised persons. The approval process can be multiple step or a two step process describing the proposal to change, review the inputs and recommend the decision.

Actions

Action is a business process that can provide certainty to commercial, technical, operational and strategic decisions. The action can be corrective, investigative or preventative and likely it requires resources and plan to complete. All actions can only be created by business process with enabled action generator, like risk assessments, incident investigations, work request etc. The scope of the action may be facility specific or company wide.

Company

Company is foundation of all Besea operations which manages company wide policies, procedures, budgets and strategic plans. The company is essential to create new facility. Company may have users and the company custodian is responsible for user data privacy.

Facility

Facility is collection of systems and units which have defined technical objective. It is highest level technical management level, and facility is required to create asset register and maintenance work requests. Facility may have users and the facility custodian is responsible for user data privacy.

User

Management of user data, company or facility access privileges and user preferences. User skills and trade license can also be validated by the third party or company representatives. Application help, activity log and licence request may also be viewed at the user portal.

Access

Management of authority levels for facility access and company access privileges. Review access upgrades, user locks and suspensions. System level management, including user validation and company verification. Besea System maintenance.

Documents

Support document management system, including link to external document management systems. Different document types supported, images, drawings, calculations, text documents, spreadsheets, specialist engineering format documents and much more.

Activity Logs

User, company and facility activity logs to record new business processes initiated or old one closed or archived. It is single data repository for all data activities associated with the company or facility.
